Administrative Assistant

The San Diego Tourism Authority is a private, non-profit, mutual benefit corporation composed of approximately 900 member organizations, businesses, local governments, and individuals seeking a better community through the visitor industry. San Diego Tourism Authority (SDTA) members include tourism-related entities in such categories as lodging, dining, arts & attractions, shopping, and transportation, among others, as well as other companies indirectly involved in the visitor industry.

As a sales and marketing organization, the main objective of SDTA is to promote and market San Diego County as a vacation destination and meetings and convention site. SDTA also represents and supports the interests of the visitor industry as a whole.

We are looking for an Administrative Assistant who will provide administrative support to assigned Chief Sales Officer (CSO), VP of Sales (VP) and Director of Site & Client Experience (DSCE).

General responsibilities

  • Schedule and coordinate meetings within the Division
  • Interact with key clients, board members, stakeholder hotels and venues
  • Assist with managing the CSO’s Outlook calendar and meeting requests
  • Oversee for the administrative component of the Division budget & forecast
  • Prepare month-end and ad hoc reports using company databases
  • Prepare PowerPoint presentations
  • Assist the sales and services coordinators when needed
  • Provide thoughts & ideas to improve efficiencies in the operation
  • Prepare monthly expense reports for the CSO, VP & DSCE
  • Coordinate travel needs for the CSO, VP & DSCE


  • Proof of Covid-19 Vaccination or medical or religious exemption is required.
  • Must have strong computer skills including Microsoft Office Suite; experience with Tableau preferred but not required
  • Proficiency with Zoom and Teams meetings
  • Experience and comfort with basic Graphic Design software is preferred
  • Strong organizational skills with experience handling multiple tasks simultaneously
  • 2 years prior administrative experience supporting executives 
  • Must have strong written and verbal communication skills
  • Hospitality experience or collegiate hospitality program preferred
  • Bachelor's Degree or equivalent years of training and experience is preferred
